Who we are

McQuoids Estate Agents and Surveyors Limited (“McQuoids”, “we”, “us”) runs this website. Our office is at 432-434 Ormeau Road, Belfast BT7 3HY.

We are responsible for the personal details you give us. In data protection law, this makes us the “controller” of those details.

If you have a question about this policy, email office@mcquoids.co.uk or call 028 9064 0018.

What we collect

We only collect what we need. What that is depends on how you contact us.

  • Quote requests: your answers about the property and the service you need, your postcode, your name, email address and phone number.
  • Messages: your name, email address, phone number and what you write to us.
  • Tenancy applications: everything on the form. This includes your date of birth, contact details, current address, bank branch, how you will pay the rent, whether you receive benefits, your work, the people who will live with you, pets, your past landlord and any documents you upload, such as photo ID.
  • Calls and emails: what you tell us, so we can help you.
  • Website use: how you use this site, but only if you agree to cookies.
  • Advert details: if you came here from one of our adverts or a link we shared, your enquiry tells us which one. This helps us see which adverts work.

The tenancy form asks about the people who will live with you. Please tell them you are sharing their details with us.

How we use your details

We use your details to:

  • reply to your enquiry and give you a quote
  • carry out a survey, valuation, sale or let that you ask us to do
  • look at a tenancy application, and ask the employer and landlord you name for a reference
  • keep the records that the law and our professional body, RICS, require
  • improve this website and measure our adverts, if you agree to cookies

The law asks us to have a reason for each use. It calls this a lawful basis. Ours are:

  • Contract: you asked us for a quote, a service or a tenancy, so we need your details to give it to you.
  • Legal duty: the law and RICS rules tell us to keep some records.
  • Fair business reason: for example, to reply to a message you sent us, to see which advert brought your enquiry, or to keep our records in order.
  • Your consent: for analytics and advertising cookies. You can change your mind at any time.

We do not sell your details. We will only send you marketing if you have agreed to it.

Cookies and analytics

Cookies are small files that a website stores in your browser.

Some cookies are needed for the site to work. We only use analytics and advertising cookies, from Google Analytics and Google Ads, if you agree to them. They tell us which pages people visit and which adverts brought them here.

When you first visit, we ask whether you agree. If you say no, we do not set them.

Our Cookie Policy lists each cookie, what it does and how long it lasts. You can change your choices at any time with Cookie settings at the foot of every page.

The map on our contact page comes from Google. It only loads if you choose to show it, and Google may then set cookies.

Who we share them with

We only share your details when we need to. We may share them with:

  • the companies that host this website and handle our forms and email for us, who may only use your details to provide that service
  • the landlord of a home you apply to rent, and the people you name as referees
  • a tenancy deposit scheme, if you become a tenant, as the law requires
  • your solicitor or lender, when you ask us to
  • the police, the courts or other public bodies, when the law requires it

Some of the companies we use store data outside the UK, for example in the United States. When they do, your details are protected by the safeguards that UK law requires.

How long we keep them

  • Enquiries and quotes that do not go ahead: up to two years.
  • Tenancy applications that do not go ahead: up to six months.
  • Tenancy applications that lead to a let: for the length of the tenancy and six years after it ends.
  • Records of our work for clients: at least six years after the work ends, or longer if the law or RICS rules require it.

After that, we delete your details securely.

Keeping them safe

Every form on this site sends your details over a secure connection. Only the people at McQuoids who need your details can see them.

Your rights

You have the right to:

  • ask for a copy of the details we hold about you
  • ask us to correct details that are wrong
  • ask us to delete your details
  • ask us to limit how we use your details, or object to how we use them
  • ask us to send your details to you or to another company
  • withdraw your consent at any time, where we rely on it

To use any of these rights, email office@mcquoids.co.uk or write to us. We will reply within one month. There is usually no charge.

If you are unhappy with how we use your details, please tell us. You can also complain to the Information Commissioner’s Office at ico.org.uk.

We may update this policy from time to time. The date at the top shows when it last changed.
